There are days when you may want to close your venue or some of your rooms to bookings, For example, you may not be open on Christmas Day, or you may need to close some rooms for maintenance.
To do this, you need to create a booking for these rooms on the days you are closed to prevent anyone from making bookings.
Firstly, make sure there are no bookings in the calendar on the dates you are closed. These may have been added by Repeat Bookings.
For each day you are closed, create a booking with the following details:
- Customer: use your venue’s Customer record. It probably has the same name as your venue.
- Booking Name: set this to something meaningful such as “Hall Closed”
- Status: Confirmed
- Privacy: Public
- Date: The date you are closed
- Start Time: 00:00 (you will probably need to type this in rather than selecting from the drop-down)
- End Time: 23:59
- Repeat: If you are closed several days in a row, set this to Daily, then set the Until Date to the last date of closure
- Rooms: Select all the rooms which are closed
- Price: Do Not Invoice
This will ensure the room is not available to be booked on the dates you are closed, and will ensure the reason is clearly visible to members of your team and, where set up, members of the public.
