Sat 30 May: Issues with the security certificate for MyHallWizard have still not been resolved, and some customers may have difficulty connecting with the application. We are sorry for any ongoing problems. If this affects you, please let us know. We are continuing to work with our firewall provider to resolve the issue.

Using the Calendar

In this article

The calendar is the main view in MyHallWizard, showing all your bookings at a glance. Click Bookings in the navigation bar to go to the calendar.

Calendar Views

Use the buttons in the calendar toolbar to switch between views:

  • Day — shows a single day with time slots for each room

  • Week — shows a full week with time slots

  • Month — shows a monthly overview

  • List — shows bookings as a simple list, grouped by date

The calendar remembers your preferred view.

Navigating

  • Use the left and right arrows to move forward or backward in time

  • Click Today to jump back to today's date

  • In Month view, click on a date to jump to the Day view for that date

Room Colours

Each room has a colour assigned to it. Bookings are displayed in the room's colour on the calendar, making it easy to see which rooms are booked at a glance. Room colours are configured in Settings > Rooms.

Opening Hours Filter

By default, the calendar shows only your venue's opening hours. To show the full 24-hour day, toggle the Opening hours filter in the calendar sidebar.

Calendar Sidebar

The sidebar on the left of the calendar provides quick access to:

  • New Booking — create a new booking

  • Booking Enquiries — view pending booking enquiries (with a count badge)

  • Provisional Bookings — view bookings awaiting confirmation

  • Repeat Bookings — view all repeat booking series

  • Import — import bookings from a spreadsheet

  • Opening hours filter — show/hide times outside opening hours

Creating a Booking from the Calendar

Click on any available time slot in the calendar to create a new booking. The date, time, and room will be pre-filled based on where you clicked. See Creating and Managing Bookings for full details.

Understanding Booking Appearances

  • Coloured bookings — confirmed bookings, shown in the room's colour

  • White/light bookings — booking enquiries that haven't been confirmed yet

  • Provisional indicator — provisional bookings show a small icon

  • Private indicator — private bookings show a lock icon

  • Clicking on any booking opens its detail page

Public Calendar

You can share a read-only version of your calendar with the public. See Public Calendars for setup instructions.
